In Brief: Private tours are a great way to customize your business. EzTix is not responsible for managing private tours, however we are happy to assist in creating "one off" private tours, mark already scheduled tours as private, make tours private based on templates that already exist, and escalate customer inquiries for Private Tours to you directly. 


HOW TO CREATE PRIVATE TOURS


Scenario 1) Convert an already scheduled public tour into a private tour

Use this option when you would simply like to turn an already scheduled public tour private.


Scenario 2) Create a private tour based on one of your templates, that is not already scheduled

Use this option if you would like to add a private tour to the calendar based on a template you have already loaded into EzTix.


Scenario 3) Create a one time fully customized private tour

Use this option when you are creating a custom tour from scratch that will not be based off one of your existing templates already loaded in EzTix.

 

STEP BY STEP


Scenario 1)  Convert an already scheduled public tour into a public tour 

  • EVENTS > Edit Details. 
  • Scroll down to the Event Visibility Settings section and check off the  Event Is Private button and click SAVE at the bottom of the window.


Scenario 2) Create a private tour based on one of your templates, that is not already scheduled 

  • EzTix > TEMPLATES > Select the template > Manage Tour Dates.
  • Double click the calendar date on which you would to schedule your private tour.
  • Once you've selected this, This will bring you back to your template event calendar with the newly scheduled tour. Double click the tour you have just created
  • At the top of the Event window, click Edit Details. 
  • Scroll down to the Event Visibility Settings section and check off the My Event Is Private button and click SAVE at the bottom of the window. 

 

Scenario 3) Create a one time fully customized Private Tour

  • EzTix >  EVENTS 
  • Click the CREATE NEW EVENT button at the top of your page.
  • At the top of the Event, click Edit Details. 
  • Scroll down to the Event Visibility Settings section and check off the My Event Is Private button and click SAVE at the bottom of the window. 


 

CUSTOMIZING TOURS

Customization will allow you to add a tour description, set ticket prices and types, and craft the reminder email that is sent out to your guests 24 hours prior to the tour. 


Customizing Tour Descriptions

Scenario 1 and 2 - For tours that are already based on a template:

  • EzTIX >  EVENTS
  • Scroll down to the private event you have just created, and double click on the title.
  • EDIT DETAILS button on the top left of this section. 
  • Complete all fields to the best of the organizer's ability. 
  • Now, you can help the client edit or complete the look of the ticket email, e-ticket and reminder email through the CUSTOMIZATION tab in global event management.  

 Scenario 3

  • Once you've created your new private tour, A new window will pop up asking you to fill in the event description fields. Follow the instructions in the event wizard and fill out all the fields as described. 
  • In Scenario 3 - Once you've created your new private tour with event details, you will need to customize your Ticketing page (what your private tour customers will see when purchasing tickets to the tour), the E-Ticket, and reminder emails. 

Select the CUSTOMIZATION tab. and adjust the details as needed. 


TICKETS: CREATING TYPES AND PRICING TICKETS

Scenario 1 and 2

  • TICKET TYPES 

  • The first section of the window determine the selling policy. Populate these fields.
  • The second section of the window will allow you to create ticket types. 
  • Select ADD TICKET TYPE 
  • ADD TICKET TYPE window will appear. Select Ticket Type from the dropdown menu, specify the cost and how many of this ticket type you would like to be made available for your private tour. 


 Scenario 3

  • Once you've filled out your event description fields, click NEXT. This will direct you to a new window asking you to create ticket types. Eg. General Admission, Senior etc. Fill in the fields and click SAVE.  Then, click the NEXT button at the bottom of the pop up window. 
  • The next page will prompt you to review your event details. Review and ensure they are correct.  Should you need to change the details, click Edit This Section
  • If you are satisfied with the details, click Submit
  • Now, you can now edit or complete the look of your ticket email, e-ticket and reminder email through the CUSTOMIZATION tab in GLOBAL EVENT MANAGEMENT.   

 



HOW YOU CAN SELL TICKETS TO YOUR PRIVATE TOURS 

There are two ways to sell tickets to your private tours.


OPTION 1: Have the client take the customer's Credit Card and Billing Information over the phone.

  • EVENTS
  • Locating the EVENT
  • Select "Sell Tickets" and process the order on behalf of the guest 


OPTION 2: Send your customer a dedicated link

  • Locate your Private Tour in the EVENTS screen, and click on it
  • Click on the TICKET PAGE button on the left side menu:



  • This will open the Private Tour's Kiosk page in a new tab
  • Double click the URL or website in the address bar and copy and paste it into the email they are sending your private tour guests. 


  • NOTE:  The CALL CENTRE will not take private tour bookings unless the customer/Partner is having issues processing the order and/or a Partner specifically requests assistance. Private tours should normally always be processed, negotiated and handled by Tour Operators themselves. 

 


OPTION 3: Over The Phone

  • EzTix > EVENTS >Ticket Page or SELL TICKETS 
  • Over the phone, record all necessary information. 



HOW TO SET UP A DEPOSIT

  • Create 2 Ticket Types. The first ticket type should be labelled "Deposit" and the second is to be labelled the Remaining Owed/Balance. 
  • Price them accordingly. 



NOTE: Tours set to private do not reflect on your website. The ticket page link is accessible through EzTix and this is what partners and agents must use to send customers a way to purchase tickets online. Private tours will reflect in the backend EzTix calendar.
